About the Chancellery and Archive:
The Chancellery and Archive was established and operates as a structural unit of the Academy in accordance with Decree No. PF–141 of the President of the Republic of Uzbekistan dated August 21, 2025, “On Measures to Fundamentally Improve the System of Training Highly Qualified Personnel in the Field of Justice.”
The main purpose of the Chancellery and Archive – is to ensure the proper organization of records management at the Academy in accordance with legislative requirements, to monitor the execution of documents, as well as to collect, register, store, ensure proper use of, and transfer the Academy’s official documents to state archives in due course.
The main tasks and functions of the Chancellery and Archive are as follows:
• Registers all incoming correspondence (appeals, documents, letters, and other written communications) in the relevant logbooks and electronic systems, and maintains a unified record thereof;
• Assigns registration marks to recorded documents and submits them to the Rector for consideration and signature;
• Distributes incoming correspondence to responsible executors according to relevance;
• Receives outgoing correspondence from executors in accordance with established procedures, registers it, and ensures its timely dispatch to the appropriate recipients;
• Ensures comprehensive accounting of all incoming and outgoing correspondence;
• Maintains records of all correspondence and regularly informs the Rector about the status of their execution;
• Monitors the proper execution of documents related to departmental activities and containing direct assignments addressed to the Academy;
• Ensures proper and orderly storage of all documents related to the Chancellery in compliance with established procedures;
• Provides information requested by the structural units of the Academy in accordance with established procedures;
• Files all registered incoming and outgoing correspondence into relevant dossiers and ensures their proper storage;
• Collects, registers, stores, and facilitates the use of the Academy’s archival documents;
• Ensures compliance with applicable legislation in the storage, use, and transfer of archival documents to state archives;
• Ensures the integrity and preservation of archival documents;
• Ensures the timely transfer of archival documents to state archives;
• Performs other duties as assigned by the Rector of the Academy in accordance with legislation.
